    Hi

    I am attending a AGM in March and want a open letter and its contents made aware to the members at this AGM

    I would like the person who this letters concerns to be aware beforehand of the AGM

    This letter will be sent to the Secretary requiring a signature on the day of the meeting the meeting starts at 7.30 pm

    The person needs to travel quite a distance for this AGM and may end up not attending if the Secretary tells them the contents if this happens does the Secretary still have a obligation to make the members aware of my letter and its contents on the night of the AGM

    Quite certain none of the committee members will want the contents revealed to the members

    I want to be calm and controlled has much has possible at this meeting , whilst making sure all is revealed and it being truthful

    Am I going the correct way about this ?

    It depends on the rules or articles of association of the body concerned.

    In all probability, though, you will find that no business is to be transacted at the AGM unless notice is given at least xx days prior to the meeting.

    You might think that such provisions, which in my experience are universal, are there precisely to prevent "ambushes" which is effectively what you are trying to plan.

    There may be the opportunity for questions from the floor in which case your purpose may be better served by a carefully crafted question.

      I assume you are not a committee member.
      The agenda is normally set by the chair (in consultation with other committee members probably)
      As it is an AGM I would expect it to cover last AGM minutes, possible election of new committee members, statement and acceptance of accounts and a self congratulatory review of last years achievements and little else.

      Unless the organisation has an odd constitution, I cannot see your obviously contentious letter being given an airing, unless the agenda happens to include "any other business" in which case you may be able to read your letter aloud yourself.
      If you want all members to be aware of its contents I suggest you obtain a list of members and write to them individually. In that way you will access even those members who do not attend the AGM

        and I do agree with you Stevelms that it looks like I am trying to ambush them but that is not the case

        At the last AGM another member And myself were ambushed by the President

        I am a ex Committee member

        This situation started about 18 months ago but I was unable to talk about it openly because it was being dealt with by head office but I have now had a successful conclusion against the President about a complaint

        The President mentioned at last years AGM I had placed this complaint to publicly provoke me but it never worked and also stated at the time to the members ( that unfortunately we can't talk about ) well fortunately this year we can because head office have not stated I can't now make things public and I think it's important for members to know what my complaint was about , I will intend giving them a copy

        Over the years there have been several complaints placed against him at head office and he always talk himself out things not this time and that has been quite a shock to him

        I will probably ask questions from the floor and read a letter myself

        The president is now aware things have backed fired on him and know I will be saying something to the members and may even try to stop me

                saw him on Tuesday when I went to pay my membership he tried to be nice and make small talk with me ( first time in 12 years )

                The complaint I placed was because of what he did to another member not me
